Course Information

Course Description:

Records Management is a practical approach to the types and complexities of all filing systems based on the Association of Records Managers and Administrators (ARMA) guidelines and rules. Micrographics and electronic storage of records are discussed as well as manual filing practices.

Course Objectives:

         The student will become proficient in the key filing systems (alphabetical, subject, geographic, and numeric) 
         as well as learning about micrographics and electronic storage systems. The student will learn to apply the
         ARMA guidelines for storing records as well as ARMA's  rules of filing  the key filing systems.
 
Prerequisites and Corequisites:
None
Course Topics:
The course includes the history and importance of records management to organizations; the value of records; the equipment used by each type of filing system; the advantages/disadvantages of each filing system; charge-out procedures for records; the ARMA rules for filing systems (alphabetical, subject, geographic, and numeric); the equipment used in micrographics. the merging of micrographics with computer technology, cost effectiveness of micrographics, the legality of micrographics; and the organization of computer-based records systems, database management, data security, optical disc storage, and legality of electronic document management systems.

Assessment and Grading
Testing Procedures:
The tests are used as a measuring tool for the students to check their process in the course. There is no need for proctors, etc. to oversee exams.

Grades are based on attendance in the course, assignments, class discussions, projects, and tests.

Assignments and Participation
Assignments and Projects:
Each module will have an assignment be to completed as well as a test. There will be several projects regarding filing systems as well as a comprehensive exam at the end of the course.
Class Participation:
Students must communicate with other students in discussions and are expected to communicate with the instructor as a learning resource.
Punctuality:
Due dates are assigned to all assignments and projects.
Course Ground Rules
Attendance is required throughout the course, participation is required in the discussions, assignments must be completed, tests taken, and course netiquette observed all times. 
Guidelines for Communications
Email:
  • Always include a subject line.
  • Remember without facial expressions some comments may be taken the wrong way. Be careful in wording your emails. Use of emoticons might be helpful in some cases.
  • Use standard fonts.
  • Do not send large attachments without permission.
  • Special formatting such as centering, audio messages, tables, html, etc. should be avoided unless necessary to complete an assignment or other communication.
  • Respect the privacy of other class members
Discussion Groups:
  • Review the discussion threads thoroughly before entering the discussion. Be a lurker then a discussant.
  • Try to maintain threads by using the "Reply" button rather starting a new topic.
  • Do not make insulting or inflammatory statements to other members of the discussion group. Be respectful of others' ideas.
  • Be patient and read the comments of other group members thoroughly before entering your remarks.
  • Be cooperative with group leaders in completing assigned tasks.
  • Be positive and constructive in group discussions.
  • Respond in a thoughtful and timely manner.
Chat:
  • Introduce yourself to the other learners in the chat session.
  • Be polite. Choose your words carefully. Do not use derogatory statements.
  • Be concise in responding to others in the chat session.
  • Be prepared to open the chat session at the scheduled time.
  • Be constructive in your comments and suggestion
